Trip Terms & Conditions

This Trip and Retreat Terms, Conditions, and Participant Agreement is issued by Lesbifriends Inc., a District of Columbia corporation doing business as Lesbifriends Travel.

This Agreement applies to multi day travel experiences and retreats organized by Lesbifriends Inc.

By booking, paying for, or participating in a Lesbifriends trip or retreat, you acknowledge that you have read, understood, and agree to the terms below.

1. Booking, Payment, and Cancellation Terms

Deposits

• Trip deposits secure your reservation and are strictly non refundable and non transferable.
• A 3 day grace period from the time of booking allows for full cancellation and refund upon written request.
• After the 3 day grace period, all deposits are final.

Trip Payments

• All trip payments are non refundable and non transferable.
• Lesbifriends Inc. enters into binding vendor contracts based on participant commitments.
• Once funds are committed to vendors, those funds cannot be recovered.
• Cancellation for any reason, including personal, medical, work related, or scheduling conflicts, does not entitle a participant to a refund.

Transfers

• Participant transfers may be permitted at the sole discretion of Lesbifriends Inc.
• The original participant remains financially responsible until a replacement participant has paid in full.
• Any administrative or vendor transfer fees are the responsibility of the canceling participant.

No Chargebacks

By completing your booking, you agree not to initiate a chargeback or payment dispute for any amounts due under this Agreement.

If a chargeback is initiated in violation of this Agreement, you agree to be responsible for all resulting costs incurred by Lesbifriends Inc., including administrative fees, chargeback penalties, and reasonable attorney’s fees.

2. Pricing and Inclusions

All prices are listed per person unless otherwise specified.

Unless explicitly included, pricing does not cover:

• Flights or transportation to and from the destination
• Travel insurance
• Passport or visa fees
• Personal expenses
• Laundry
• Gratuities
• Alcoholic beverages unless specified
• Meals not listed in the itinerary
• Optional excursions

Participants are responsible for reviewing all itinerary details prior to booking.

3. Travel Insurance Requirement

Travel insurance is mandatory for all trips and retreats.

Participants must:

• Purchase travel insurance that includes trip cancellation and medical coverage
• Provide proof of coverage if requested

Lesbifriends Inc. is not responsible for losses resulting from failure to obtain adequate insurance.

4. Assumption of Risk

Travel and group experiences involve inherent risks, including but not limited to:

• Illness
• Injury
• Delays
• Transportation disruptions
• Government restrictions
• Political instability
• Natural disasters

By participating, you voluntarily assume all risks associated with travel and group activities.

5. Release of Liability

Lesbifriends Inc. coordinates travel experiences but does not own or operate airlines, hotels, transportation providers, excursion companies, venues, or other third party vendors.

Lesbifriends Inc. is not liable for:

• Acts or omissions of third party vendors
• Delays or cancellations
• Loss of property
• Personal injury
• Illness
• Death
• Government actions
• Natural disasters

You release and hold harmless Lesbifriends Inc. from claims arising out of participation, except where prohibited by law.

6. Medical Authorization and Health Responsibility

You confirm that:

• You are physically and mentally able to participate
• You have consulted a medical professional if necessary
• You have disclosed relevant medical conditions

In the event of an emergency, you authorize Lesbifriends Inc. to seek medical treatment on your behalf.

All medical expenses are your responsibility.

Lesbifriends Inc. reserves the right to remove a participant if their health, behavior, or condition poses a risk to themselves or others. No refund will be issued in such cases.

7. Participant Responsibilities

Participants agree to:

• Arrive on time for scheduled activities
• Follow itinerary guidelines
• Respect fellow participants
• Follow safety instructions
• Comply with local laws

Lesbifriends Inc. will not delay excursions due to individual tardiness.

8. Code of Conduct

All participants are bound by the Lesbifriends Event and Trip Code of Conduct.

Violation of the Code may result in removal from the trip without refund.

9. Media Release

By participating, you agree to the Lesbifriends Media and Content Release Agreement.

If you prefer not to appear in marketing materials, you must notify Lesbifriends Inc. in writing prior to or at the start of the trip.

10. Force Majeure

Lesbifriends Inc. is not liable for cancellation, delay, or modification due to events beyond its reasonable control, including but not limited to:

• Natural disasters
• Border closures
• Government restrictions
• Pandemics
• Civil unrest
• Airline disruptions

If a trip must be postponed due to force majeure:

• Payments may be applied as credit toward a future trip
• Refunds are not guaranteed
• Vendor policies will govern any recoverable funds

Lesbifriends Inc. will make reasonable efforts to mitigate losses and preserve participant value.

11. Accuracy of Information

You confirm that:

• All booking information is accurate
• Your name exactly matches your government issued identification
• Dates of birth and passport information are correct

Lesbifriends Inc. is not responsible for costs resulting from inaccurate information.

12. Dispute Resolution and Binding Arbitration

In the event of any dispute arising out of or relating to participation in a Lesbifriends trip or retreat, the parties agree to first attempt to resolve the matter through good faith discussion.

If resolution cannot be reached, the dispute shall be resolved through binding arbitration in the District of Columbia in accordance with the rules of the American Arbitration Association.

The arbitration shall be conducted by a single arbitrator. The arbitrator’s decision shall be final and binding.

By agreeing to arbitration, you waive the right to:

• File a lawsuit in court
• Have a trial by judge or jury
• Participate in a class action lawsuit

Each party shall bear its own legal fees unless otherwise awarded by the arbitrator.

This provision survives termination of this Agreement.

13. Governing Law

This Agreement is governed by the laws of the District of Columbia.
